Insurance Claim Documentation Checklist After Water, Fire, or Property Damage

Good documentation can make a property-damage claim easier to understand months after the emergency is over. The goal is to create a clear timeline of what happened, what was damaged, and what work was performed.

What to document

  • Take wide-angle photos of every affected room before cleanup when it is safe to do so.

  • Take close-ups of damaged materials, wet contents, staining, soot, sewage, or other visible conditions.

  • Photograph the apparent source of loss when visible, such as a failed supply line, appliance connection, roof leak, or drain backup.

  • Create a contents inventory with item description, brand, model, approximate age, quantity, and replacement cost when known.

  • Save emergency repair, temporary protection, lodging, meal, equipment, and other loss-related receipts when applicable.

  • Keep your claim number, adjuster contact information, emails, text messages, estimates, invoices, drying records, reports, and completion documentation together.

Preserve a timeline

Write down when the loss was discovered, when the source was stopped, when the insurer was notified, when mitigation began, and any important conversations or inspections. This can help everyone understand the sequence of events later.
